Interview Notes Pasted Into the Send-Out

Your write-up is a summary of the conversation, not an evaluation of the candidate.

The short answer: A summary of the interview tells the hiring manager what was discussed. It doesn’t tell them whether the candidate meets what they need.

Why it matters

The hiring manager has to do the evaluation themselves, from your summary and the resume. Most won’t, or will do it quickly.

With no evidence set against the requirements, the decision falls back on the resume and first impressions, and a strong candidate can lose to one who simply presents better.

And it hides the work you did. The judgment you made in the interview never reaches the client.

What’s usually behind it

After an interview, the fastest path to a send-out is to tidy your notes, or have an AI summarize them, and send that.

But notes and summaries are organized around the conversation: what came up, in the order it came up. The hiring manager needs it organized around the role: each requirement, and the evidence for it.

That reorganization is the evaluation. Skipping it means sending the raw material instead of the conclusion.

A summary says what was discussed. The hiring manager needs to know what it proves.

Signs this is what’s happening

  • Your send-outs follow the order of the interview, not the order of the requirements.
  • You draft send-outs from your notes or an AI summary of the call.
  • The hiring manager asks how the candidate measures up on a specific requirement.
  • Your send-outs don’t mention any tradeoffs.

Structured Interview Debrief

Other possible causes

  • The send-out format hides the reasoning. Even a good evaluation gets lost in a send-out that only shows highlights and a resume.
  • There wasn’t time. Back-to-back interviews left no room to evaluate before submitting.
  • The client asked for speed. The client wanted candidates fast, and the write-up was cut.
